Overview
hyEvents is Hy.ly's new Events Scheduler that allows you to create events for your property.
Navigation
Navigate to hyevents.hyly.app and click Sign In.
Or,
Login to your my.hy.ly account, under your sub-org, navigate to hyEvents.
The Events Tab
The Events tab is the default tab and houses all of your events irrespective of their status: 'Draft,' 'Approved,' 'Scheduled,' etc. These events are divided by month and are displayed in a list view.
You can filter your events view in the toolbar directly above your events:
To the far right of each event, you can edit or click the three dots which offer the following options:
- Duplicate
- Preview
- Archive
- Cancel
Creating/Editing an Event
To create an event, you can click the +Event button on the top right corner:
Edit Event
You will immediately be taken to the event template featuring your property's branding. You can edit every field you see:
- Event Title
- Date & Time
- Image
- Subtitle
- Body
- Join Us fields
- Location
- Address
After saving your changes, you are taken to the 'Omnichannel Preview' subtab, which allows you to preview your event as a:
Landing Page
- Confirmation Pages
- Emails
- Flyer
Landing Page
The landing page displays your newly edited event from the previous subtab in both Web and SMS format:
Emails
The Email section previews the different types of Notifications/Reminders/RSVP Confirmations users can receive. All these emails are customizable:
1. Notification:
- Event Invite
- Event Canceled
- Event Rescheduled
- Follow Up
- Thank You
2. Reminders:
- Night Reminder
- Morning Reminder
- Waitlist Opening
3. RSVP Confirmations:
- Confirmation
- RSVP Cancel
- Waitlisted
*Note: These are also available to preview in Desktop, Mobile and SMS format.
Confirmation
The Confirmation section displays your event as an Email and SMS so you can see how the invite will render once sent out.
*Note: While under the Email display, you can edit the following:
- Title
- Image
- Subtitle
- Body
Flyer
Finally, the Flyer section displays your event in the form of a flyer which you can print.
Schedule Invite
Send Test Invite
You are now ready to schedule your event invite. In the 'Schedule Invite' subtab, you'll send a test email (and/or SMS) to the contacts of your choosing.
Publish Event
After you send the test email, you can publish it on the website with the 'Publish Event' subtab.
*Note: You will either send your event for approval or publish immediately depending on your accessibility in hyEvents. The approval process is covered more in the article How To Create hyEvent- Agent Experience.
Select Audience and Schedule Invite
Next, select your audience, the date, and time the event invite will send and click 'Schedule Invite.'
Share Invite on Social Media
You can also choose to post the invitation on the social media platform.
Set a buffer time for the Thank You email before it goes to the attendees. The buffer time starts as soon as the event time ends.
The Approvals Tab
The Approvals tab houses any events they have sent for approval for Agents.
You can also view your request history.
For Admins, the Approvals tab will house events waiting for your approval:
Admins also see All Approvals which are all event requests that are pending approval across the Org level:
Finally, Admins also see the Approval History of all events they have previously approved:
The Settings Tab
Under the Settings tab, Admins can set up the approval process:
- Enable Approval Process Yes/No - You can decide if you require agents to seek approval for events before publishing and scheduling them.
- List Approvers - Those who can approve events.
- List Approved Agents - Agents who can publish and schedule events without approval.
