Schedule and Use Live Video Tour

Tutorial

In this tutorial, you will learn how to schedule and use 'Live Video Tour.'

Step 1 - Schedule Live Video Tour - Prospect

Step 1a - Schedule Tour from Property Website

The prospect can go to the property website, click on the 'Schedule Tour' option > Click on 'Live Video Tour' appointment type, then fill up the details such as

1. Date
2. Time
3. First Name
4. Last Name
5. Email 
6. Do you have a pet
7. Phone No.
8. If you want to receive a notification from the property
9. Desired Move In Date
10. Desired Price Range
11. Desired Bedrooms
12. Comments (if any)

Once the information is filled, click on 'Schedule.'



The prospect will receive a confirmation notification from where they can copy the Tour Link and join the tour. They can also add the tour to their calendar by clicking on the 'Add to your Calendar' options.


Step 1b - Email Notification

The prospect will get the following email notification. They can join the tour on the scheduled 'Date' and 'Time' by clicking on the 'Join Video Tour' link mentioned in the email. They can also 'Cancel' or 'Reschedule' the tour as well as per their convenience.


Step 1c - SMS Notification

The prospect will also get an SMS notification with the link to the tour. They can click on the link and join the tour from their phones as well.


Step 2 - Schedule Live Video Tour - Agent

Step 2a - Navigate to Agents Calendar

Go to Sub-Org > Click on hyTours > In Agent Calendar > Click on '+Tour'



Step 2b - Schedule a 'Live Video Tour'

Schedule a 'Live Video' tour by selecting the tour type as 'Live Video Tour' and putting in the details such

1. Date
2. Time
3. First Name
4. Last Name
5. Email 
6. Do you have a pet
7. Phone No.
8. If you want to receive a notification from the property
9. Desired Move In Date
10. Desired Price Range
11. Desired Bedrooms
12. Comments (if any)

Then select the attribution details and click on 'Schedule.'


You'll get a confirmation of the Tour being Scheduled. You can copy the Video Tour URL and join the tour by clicking on the link.



Step 2c - Prospect Email Notification

The prospect will get the following email notification. They can join the tour on the scheduled 'Date' and 'Time' by clicking on the 'Join Video Tour' link mentioned in the email. They can also 'Cancel' or 'Reschedule' the tour as well as per their convenience.



Step 2d - Agent Email Notification

As the Agent, you will receive the following notification once the tour is scheduled. You can join the tour on the scheduled date and time by joining the 'Live Video Tour' link. You can also check the prospect details by clicking on 'Prospect Profile.'


The 'Live Video Tour' is scheduled!

Step 3 - Use Live Video Tour - Agent View

Step 3a - Join the Live Video Tour

Click on the Live Virtual Tour Link you received, and it will start the tour.



The call screen will show up, saying, 'Please wait until the 'prospect name' joins the tour.



Step 3b - 'Mute' and 'Unmute' the Mic or 'Turn on' and 'Turn Off' the Video

Once the prospect joins the link, you can:
1. Mute or unmute yourself by clicking on the mic icon on the screen.
2. You can turn on or turn off the video for yourself by clicking on the video icon.



Note - The person in Blue t-shirt is the prospect.

Step 3c - Take Notes

You can take notes while being on the call
1. Click on the Notes Icon
2. Write the Notes
3. Save the Notes


Step 3d - Update 'Contact Info' (If required)

You can update the contact info by clicking on the 'Touring Prospect' icon on the top left > Click on 'Contact Details,' fill in the details such as:

1. First Name
2. Last Name
3. Email Id and
4. Phone no.' of the prospect 

Click on 'SAVE' to save the details.



Step 3e - Update 'Preferences'

You can update the preferences by clicking on the 'Touring Prospect' icon > Click on 'Preferences'  and fill in the details such as

1. Desired Bedrooms
2. Desired Moving Date and
3. Comments (if any)

Click on 'SAVE' to save the details.


Step 3f - End Tour and Submit Reviews

You can end the tour by clicking on the 'End Tour' Icon. Once you click on it, you'll get a confirmation notification; you can either confirm to end the tour or continue the call. 



Once you click on 'Confirm End Tour,' you'll get a notification to select if the tour is 'Completed' or if the prospect is a 'No Show' case. Select one of the options, and then you can add any Notes if required and click on 'Close Tour.'



After closing the tour, you will get a survey notification through which you can 'Like' or 'Unlike' your experience, or else you can 'Skip' the question.


Step 4 - Check the Notes, Contact Information and Preference Details in Hy.ly

Step 4a - Navigate to 'Contact List' in hyCRM

In Hy.ly, click on the hyCRM > Contact Pipelines > Contact List under your sub org. 



Step 4b - Check the Activities Update

Once the contact list opens, you will see a new contact is created for the prospect. Click on the Prospect's Name, and the activities detail for the prospect will open. You can check all the 'Notes,' 'Contact Info,' and other activities recorded during the Live Video Tour.



Step 5 - Use Live Video Tour - Prospect View

Once the prospect joins the call, they can:

1. 'Mute' or 'Unmute' the call by clicking on the mic icon.
2. 'Turn On' or 'Turn Off' the Video by clicking on the video icon.
3. 'End the Tour' by clicking on the disconnect icon.
4. View the Tour Information by clicking on the information icon.



Once the prospect ends the tour, they will receive the survey Notification. Prospects can 'Like' or 'Unlike' their experience or else can 'Skip' the question.



Live Video Tour is successfully done!
